This Privacy Policy explains how Aarhus Astronomy Data Centre (AADC) under Aarhus Universitet (the "Data Controller") ("we" or "us") processes your ("the user") personal data in relation to the TASC10/KASC17 abstract submission system ("the service") hosted by AADC.

2. Description of the processing

Purpose

  1. Provision of our services: Personal data entered by the user in connection with the abstract submission will be used for purposes related to the operations of the service.
  2. Communication: Personal data are used for communication purposes.
  3. Scientific Organising Committee (SOC) for the TASC10/KASC17 workshop: Personal data (not including gender identity) will be shared with SOC to prepare the scientific programme. In the submission system itself it is specified what is shared and when.
  4. Overview of contributions: Personal data might be used to prepare an overview of the contributions, which will be visible to all participants. Note that email and gender identity will not be shared.

Categories of personal data

The categories of personal data depend on the use of the service. The different categories of your personal data we process are set out below:

    • First name, Last name, Email, Gender identity, Career stage, Number of meetings previously attended
  2. Particularly sensitive data:

    • None

We collect data from the following sources:

  • Directly from you.

Basis of processing

We process your personal data on the following legal basis (General Data Protection Regulation, GDPR):

  • Article 6(1)(a) (consent)
  • Article 6(1)(b) (necessary for the performance of a contract to which you are party)
  • Article 6(1)(f) (necessary for the purpose of legitimate interests pursued by the controller or by a third party)

Recipients

We may share your personal data with:

  • The Scientific Organsing Committee (SOC)

Storage

We will store personal data until no later than one year after the conclusion of the workshop (i.e., until 10 July 2027), or the service is discontinued.

3. Consequences of the processing

Any general personal data you enter may be visible to administrators of the service, and will be used to keep our database updated. You may receive emails to the email you provided during abstract submission.

4. Mandatory information

The following information is mandatory: First name, Last name, Email, Gender identity, Career stage, Number of meetings attended. If you fail to provide this information, it will not be possible to use the service. During abstract submission, additional information must also be provided as specified in the system itself (e.g., authors with affiliations and the abstract itself).

5. Your rights

You have the following rights:

  • You are entitled to request access to, rectification or erasure of your personal data.
  • You also have the right to object to the processing of your personal data and to have the processing of your personal data restricted.
  • In particular, you have an unconditional right to object to processing of your personal data for direct marketing purposes.
  • If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. The withdrawal of your consent will not affect the lawfulness of processing of data before your withdrawal.
  • You have the right to receive the personal data you have provided in a structured, commonly used, machine-readable format (data portability).
  • You are always entitled to lodge a complaint with a data protection supervisory authority, such as the Danish Data Protection Agency.
You may exercise your rights by: Contacting the Data Controller set forth in clause 1 by using the contact email provided by the workshop website.

These rights may be subject to conditions or restrictions. Accordingly, you may not have the right to data portability in a given case, it depends on the specific circumstances of the processing activities.

As detailed in clause 4, certain personal data elements are considered mandatory for use of the service. If a user withdraws or erases these mandatory data points, it is not possible to maintain the user's contribution for the website.
